No Kings Music is a royalty-free music catalogue and digital licensing service available at nokingsmusic.com.

For data-protection purposes, that person or organisation is the controller of the personal information described in this Policy.

2. Scope of this Policy

This Policy explains how we collect, use, retain and share personal information when you:

  • visit or use our website;

  • create or manage an Account;

  • purchase or download music;

  • begin, manage or cancel a Subscription;

  • save favourites or organise music into Projects;

  • contact us or submit a support request;

  • join our mailing list;

  • interact with our emails; or

  • otherwise use No Kings Music services.

It should be read alongside our Terms of Service and Music Licence and our cookie choices or cookie notice.

3. Personal information we collect

Depending on how you use the service, we may collect the following information.

Identity and contact information

  • first and last name;

  • email address;

  • company or organisation name;

  • billing address where required;

  • country or region; and

  • other contact details you choose to provide.

Account and security information

  • Account identifier;

  • username;

  • password hash;

  • login and authentication records;

  • Account preferences;

  • security and fraud-prevention signals; and

  • records of changes to your Account.

We do not store your password in readable form.

Order, payment and subscription information

  • products and Tracks ordered;

  • order number, date, value and currency;

  • billing and transaction status;

  • refund, dispute or failed-payment information;

  • Subscription plan, status, renewal and cancellation dates;

  • payment-provider customer, transaction or subscription references; and

  • limited payment-method information returned by the payment provider.

Payment providers process full card or account details. We generally do not receive or store complete payment-card information.

Licence, download and project information

  • Tracks licensed or downloaded;

  • Licence and entitlement records;

  • download dates and technical delivery records;

  • favourites;

  • saved Project names and Project-track relationships; and

  • catalogue searches, filters or interactions where recorded.

Support and correspondence information

  • messages sent through Contact Us;

  • general enquiries;

  • technical-support tickets;

  • subject and support category;

  • relevant order number, Track name or Track link;

  • correspondence and resolution history; and

  • feedback on Help Centre answers.

Please do not include unnecessary confidential or sensitive information in support messages.

Marketing and consent information

  • mailing-list subscription status;

  • the wording, time and source of consent;

  • communication preferences;

  • withdrawal or unsubscribe records;

  • suppression records used to prevent further marketing;

  • email delivery, bounce and complaint information; and

  • email opens, clicks or campaign interactions where tracking is enabled and lawful.

Technical and usage information

  • IP address;

  • browser and device type;

  • operating system;

  • referring page or website;

  • pages visited;

  • date, time and approximate session information;

  • cookie or similar-technology identifiers;

  • error, security and server logs; and

  • information needed to operate audio previews, carts, checkout and Accounts.

We do not intentionally collect special-category personal information through the normal service.

4. How we obtain information

We obtain personal information:

  • directly from you when you register, buy, download, subscribe, contact us or join the mailing list;

  • automatically from your device and use of the website;

  • from payment providers when they confirm a payment, refund, dispute or Subscription event;

  • from email and delivery providers when they report consent, delivery or engagement events;

  • from anti-fraud, security and infrastructure providers; and

  • from another person or organisation acting for you, such as an authorised employer or client.

5. How and why we use personal information

To provide the website and fulfil contracts

We use information to:

  • create and manage Accounts;

  • process orders and payments;

  • activate and manage Subscriptions;

  • issue and preserve Licence records;

  • provide protected downloads;

  • maintain download history, favourites and Projects;

  • deliver transactional messages;

  • provide support; and

  • enforce the Terms of Service and Music Licence.

Our lawful basis is normally that processing is necessary to perform a contract with you or take steps at your request before entering a contract.

To meet legal obligations

We use information where necessary to:

  • maintain accounting and tax records;

  • respond to lawful requests;

  • protect consumer rights;

  • manage payment disputes;

  • comply with data-protection and electronic-marketing law; and

  • keep evidence of consent, withdrawal and suppression.

Our lawful basis is compliance with a legal obligation.

To operate, secure and improve the service

We may use limited information to:

  • prevent fraud, abuse and unauthorised Account access;

  • investigate errors and security incidents;

  • maintain service availability;

  • understand broad service performance;

  • improve catalogue discovery, support and customer experience;

  • defend legal claims; and

  • administer our business.

Our lawful basis is our legitimate interests in operating a secure, effective and sustainable service, provided those interests are not overridden by your rights.

To send marketing

If you actively join our mailing list, we may send:

  • new music announcements;

  • member updates;

  • catalogue recommendations; and

  • occasional offers.

Our lawful basis is normally consent.

Where the law permits a customer “soft opt-in”, we may rely on legitimate interests, but only where the required conditions and clear opt-out were provided.

You can unsubscribe at any time through the link in an email or by contacting support@nokingsmusic.com.

Withdrawing marketing consent does not affect transactional messages required for orders, Accounts, security, Licences or Subscriptions.

Cookies and similar technologies

We use strictly necessary technologies to operate functions such as:

  • security;

  • login sessions;

  • shopping carts;

  • checkout;

  • currency or interface preferences; and

  • protected downloads.

We may also use non-essential cookies, pixels or similar technologies for email signup, audience measurement, service improvement or marketing.

Where consent is required, non-essential technologies should not be activated until you make a clear choice.

You can use the website’s cookie controls to accept, reject or change non-essential preferences. Blocking necessary cookies may prevent parts of the service from working.

6. Email marketing and Omnisend

The live website currently uses Omnisend functionality for mailing-list signup and marketing-related services.

Where you consent, relevant information may be sent to Omnisend to manage:

  • mailing-list membership;

  • consent status;

  • email campaigns;

  • delivery and bounce events;

  • unsubscribes and complaints; and

  • permitted engagement reporting.

We do not add you to marketing merely because you created an Account or made a purchase unless a lawful soft opt-in applies and all required conditions were met.

If we materially change email provider or introduce a new processing purpose, we will update this Policy and any relevant consent wording before relying on the change.

7. Payments

Payments may be processed by providers such as:

  • Stripe;

  • PayPal;

  • WooPayments and associated WooCommerce payment infrastructure; and

  • any replacement provider displayed during checkout.

The selected provider processes payment information under its own privacy notice.

We receive the information needed to confirm the transaction, manage the order or Subscription, handle refunds and disputes, and prevent fraud.

We do not sell payment information.

8. Who receives personal information

We may share personal information with carefully selected recipients where necessary, including:

  • website hosting and infrastructure providers;

  • payment and Subscription providers;

  • email delivery and marketing providers;

  • WooCommerce-related service infrastructure where enabled;

  • security, anti-spam, fraud-prevention and technical-support providers;

  • accountants, legal advisers, insurers and other professional advisers;

  • regulators, courts, law-enforcement bodies or public authorities where legally required; and

  • a buyer, investor or successor involved in a genuine sale, restructuring or transfer of the business.

Recipients may use information only for the relevant service, legal requirement or disclosed purpose.

We do not sell your personal information.

9. International transfers

Some service providers may operate from, store information in or allow access from countries outside the United Kingdom.

Where a restricted transfer occurs, we will use an appropriate legal safeguard where required, such as:

10. How long we retain information

We retain personal information only for as long as reasonably necessary for the purpose for which it was collected, including legal, accounting, contractual, security and dispute-resolution requirements.

The criteria normally include:

  • Account information: while the Account remains active and for a reasonable period after closure.

  • Orders and payment records: for the period required by tax, accounting and consumer law.

  • Licence records: for as long as necessary to evidence and administer the lifetime Licence and resolve disputes.

  • Subscription records: while active and afterwards for accounting, contractual and dispute purposes.

  • Downloads and Projects: while the Account remains active, unless earlier deletion is requested and no overriding reason requires retention.

  • Support messages: until the matter is resolved and for a reasonable follow-up or legal-claims period.

  • Marketing information: until consent is withdrawn or the information is no longer useful for the stated purpose.

  • Suppression records: limited information may be retained after unsubscribe so that we can honour the request.

  • Security and technical logs: for a limited period based on security, troubleshooting and fraud-prevention needs.

  • Cookie information: for the duration described in the relevant cookie controls or cookie notice.

We may anonymise information so that it can no longer identify anyone. Anonymised information may be retained for statistical or service-improvement purposes.

11. Security

We use proportionate technical and organisational measures designed to protect personal information, including:

  • access controls;

  • password hashing;

  • encrypted website connections;

  • restricted administration;

  • payment-provider separation;

  • backups and recovery controls;

  • security logging; and

  • plugin and service maintenance.

No internet service can guarantee absolute security.

You are responsible for keeping your password secure and notifying us promptly about suspected Account misuse.

12. Your data-protection rights

Depending on the circumstances, you may have the right to:

  • request access to your personal information;

  • ask us to correct inaccurate or incomplete information;

  • ask us to erase information;

  • ask us to restrict processing;

  • object to processing based on legitimate interests;

  • object at any time to direct marketing;

We normally respond within one month, subject to lawful extensions for complex or numerous requests.

13. Automated decisions and profiling

We do not use solely automated decision-making that produces legal or similarly significant effects about customers through the ordinary service.

Where enabled, we may use limited segmentation based on consent, purchases or email interactions to make marketing more relevant. You may unsubscribe or object to direct marketing at any time.

14. Children

The service is not directed at children under 13, and we do not knowingly collect personal information from children under 13.

A person must be at least 18, or otherwise have valid authority from a parent, guardian or organisation, to make purchases or begin a Subscription.

If you believe a child has supplied personal information improperly, contact us.

15. Third-party websites

Our website links to services such as Facebook and Instagram.

Following a third-party link means that provider may collect information under its own privacy notice. We do not control third-party websites or their data practices.

No Kings Music does not currently use Facebook or Instagram links as permission to access your social-media Account.

16. Changes to this Policy

We may update this Policy when our services, providers, legal obligations or processing activities change.

The current version will be published on this page with a revised effective date.

If a change materially affects how we use information, we will provide additional notice where appropriate and obtain fresh consent where required.
